Who we are?

Hattie’s Nannies is a recruitment business specialising in the placement of nannies, maternity nannies, night nannies, nanny-housekeepers, mother’s helps, Wedding/Event nannies and other domestic services with families in Surrey, Hampshire and West Sussex .

  • 1.1  We are committed to safeguarding the privacy of our website visitors, service users, individual customers and customer personnel.
  • 1.2  This policy applies where we are acting as a data controller with respect to the personal data of such persons; in other words, where we determine the purposes and means of the processing of that personal data.

 

2. The personal data that we collect

Information supplied by clients, nannies/child-carers/domestic staff and others who register or pass any information to us, such as on our Registration forms, via our website, and/or by email and telephone conversations, is stored on our database with the purpose of providing you with childcare/household recruitment services and childcare training services (This may include sensitive personal data which you have provided to us).

  • 2.1  In this Section 2 we have set out the general categories of personal data that we process.
  • 2.2  We may process data enabling us to get in touch with you (“contact data”). The contact data may include (your name, email address, telephone number, postal address and/or social media account identifiers)
  • 2.3 We may process your information included in your personal profile on our website (“profile data“). The profile data may include [your name, address, telephone number, email address, profile pictures, gender, date of birth, relationship status, interests and hobbies, educational details and employment details. The source of the profile data is you and if you are a child-carer registering with Hattie’s Nannies, your previous employers’ references. If you log into our website using a social media account, we will obtain elements of the profile data from the relevant social media account provider.
  • 2.4 We may process information contained in or relating to any communication that you send to us or that we send to you(“communication data“).
  • 2.5 We may process data about your use of our website and services(“usage data“). The usage data may include your IP address, geographical location, browser type and version, operating system, referral source, length of visit, page views and website navigation paths, as well as information about the timing, frequency and pattern of your service use. The source of the usage data is our analytics tracking system

3. What are the purposes of processing and legal bases?

  • 3.1 In this Section 3, we have set out the purposes for which we may process personal data and the legal bases of the processing.
  • 3.2  Consent; We ask for your consent in processing and storing your personal data when you register with Hattie’s Nannies via our Client registration form and Nanny/Childcarer registration form ( and on our website our online Client contact form and online Nanny registration form ). We cannot provide you with our recruitment services without this consent.
  • 3.3  To perform our Contract with you: As per our terms and conditions, we need to process your personal data in order to provide you with our recruitment services.
  • 3.4 Direct marketing – We may process contact data, account data, profile data, customer relationship data and/or transaction data for the purposes of creating, targeting and sending direct marketing communications by email, SMS, post and/or fax and making contact by telephone for marketing-related purposes. The legal basis for this processing is our legitimate interests, namely promoting our business and communicating marketing messages and offers to our website visitors and service users.
  • 3.5 Record keeping – We may process your personal data for the purposes of creating and maintaining our databases, back-up copies of our databases and our business records generally. The legal basis for this processing is our legitimate interests, namely ensuring that we have access to all the information we need to properly and efficiently provide you with our recruitment services and run our business in accordance with this policy.
  • 3.6 Legal claims – We may process your personal data where necessary for the establishment, exercise or defence of legal claims, whether in court proceedings or in an administrative or out-of-court procedure. The legal basis

4. Who will your information be shared with?

Hattie’s Nannies has never and will never sell your data to any third party.

    • 4.1 Client information: Clients meaning Families /agencies/nurseries who ask us to recruit a child-carer and/or other household services.
    • 4.1.1 It is necessary to share your details and details of your job with our candidates (child-carers) in order to find the best fit of candidate for you.
    • 4.1.2 Hattie’s Nannies use various job boards, including on our website and others, to advertise your job, for example twitter and others. Your details are anonymised to respect your privacy.

 

    • 4.2 Candidate information: Candidates meaning child-carers/household related
      job seekers
    • 4.2.1 It is necessary to share your details and details of your job with our candidates (child-carers) in order to find the best fit of candidate for you.
    • 4.2.2 We may also be required to share your data with external companies including DBS/Ofsted/Training provider. If for example you ask us to process your DBS enhanced disclosure or wish to book a training course through Hattie’s
      Nannies

 

  • 4.3 Hattie’s Nannies may share personal information of clients and candidates with our employees for the purposes of matching the client and child-carer.
  • 4.4 Hattie’s Nannies may be required by law to share your data, and/or if required to enforce or apply our terms and conditions and other agreements; or protect the rights, property, or safety of Hattie’s Nannies Ltd, our users, or others.
    This may include exchanging information with other companies and organisations.

5. Retaining and deleting Personal Data

  • 5.1 This Section 5 sets out our data retention policies and procedures, which are designed to help ensure that we comply with our legal obligations in relation to the retention and deletion of personal data.
  • 5.2 Personal data that we process for any purpose or purposes shall not be kept for longer than is necessary for that purpose or those purposes.

Hattie’s Nannies policy is to retain your data for 7 years from the date your data is non-active. For clients this means the date from which we have placed a child-carer/other household candidates and our services are no longer needed. For child-carers and other household related job seekers, it means 7 years from when you confirm that you no longer need us to look for work for you.

  • 5.3 Legally you have a right to ask for your data to be deleted at any time by contacting us. We will contact you before the end of that 7 year period to ask if you would like us to delete or retain your data. 7 years is the period within which we may need your personal data to establish bring or defend a claim against Hattie’s Nannies.
  • The only exceptions to this are as follows:-
  • Where the law requires us to retain your data longer or delete it earlier
  • Where you exercise your right to have your information deleted and we do not need to hold it in connection with any of the reasons permitted or required under law
  • Where we bring or defend a legal claim/other proceeding during the time we retain your data, in which case we will retain your personal information until those proceedings are complete and no further appeals possible data indefinitely.

Hattie’s Nannies do not have access to this information.
